Terms & Conditions:

The person named on the booking form will be responsible for all members of the party. A contract between you & the caravan owner will come into existence upon confirmation of your booking. Lydstep Caravan Hire is a website for private caravan owners and the contract is between the guest and the relevant owner. Lydstep Caravan Hire is a private business on a Haven site; therefore all questions should be directed to Lydstep Caravan Hire and not Haven during your stay.

Arrival and Departure Time
Arrival time is no earlier than 3.00pm, departure time is 10.00 am. If you arrive prior to 3.00pm, you will be asked to remove all belongings from the caravan and allow the cleaners to complete their arrival clean and you may be charged. If you depart after 10.00am, you may be liable for a late checkout charge. The times are provided to allow the cleaners to complete the cleans on their schedule within a small timeframe and kindly ask that these times are adhered to. If for any reason you are unable to depart at the aforementioned time, please contact Lydstep Caravan Hire immediately to inform us. 

How do I access the caravan?
Each caravan has a key box located on the decking or entrance to the property. The key box code will be emailed 48 hours prior to arrival from the SuperControl system (automated assuming full payment has been made. Please note if there is any payment outstanding, this email will not send). Please do not request the key box code prior to this time as we will not provide it. Please do not go to reception upon arrival to obtain a key as the Haven staff will not give this to you. We remind all guests that your booking is with ourselves at Lydstep Caravan Hire and not with Haven, therefore any questions regarding your caravan must be communicated to ourselves.

Please ensure the key is put back into the key box on the decking following your departure and not given to Haven drop box at the security gate.

Any key that is lost or damaged during your stay will incur a £20.00 replacement cost, deducted from your breakage deposit.

Cleaning
The caravan will be thoroughly cleaned between holidays and we expect you to leave the caravan & its contents in the condition they were on arrival. Should the caravan require deep cleaning after your departure you will be notified within 3 days and a £25.00 cleaning charge will be deducted from your breakage deposit. Cleans are carried out by an independent third-party professional cleaning company. Any issues with the cleanliness of the caravan must be reported on the day of arrival to allow for this to be corrected. If you require a clean during your rental holiday, please let us know and we can organise this for you.

Following your departure, will we organise the return of your breakage deposit within 14 days. Our current method for returning payment is via cheque or bank transfer. Please note that your bank details are not saved on our system when payment is made for your caravan rental and following departure you will be asked to provide your sort code and account number to return your breakage deposit. This will be emailed to you via the SuperControl system and never through a private email. 

Pets
Pets are strictly forbidden unless you book a pet friendly caravan, which is stated on each advert. Guests found to have brought pets without prior agreement will be asked to leave with no refund given, you will be charged for a clean of the property and any damage will be taken from the breakage deposit.  Please ensure you read the advert thoroughly regarding the size and number of pets allowed in your rented caravan. If you have any questions, please ask prior to arrival.

Please have a responsible adult walking your dogs on a lead. If your dog loves to bark or behaves badly, for the comfort and safety of others, we may ask you to take the dog away. 

Dogs listed in the Dangerous Dogs Act 1991 may not be brought to the park. 

Damages
You the hirer are responsible for the caravan & undertake all reasonable care of it & to replace any breakage or damage caused. You will be notified of any damage found within 7 days of departure and an email will be sent detailing any damage along with photographic evidence.  If available at that point a quote for repair will also be attached but this is not always possible and will be forwarded on in due course. 

If you notice any damage to the caravan, please record photographic evidence and report this immediately to Lydstep Caravan Hire in order to resolve this for you and help protect your breakage deposit. If damage is not reported immediately, you may be liable for the repair’s costs of this damage. Please note, Lydstep Caravan Hire is a website for private caravan owners and the contract is in existence with the hirer and the relevant owner. If there is a dispute regarding damages, we will pass all relevant information to the owner to resolve directly with the guest.

Neither the owners or agent will be liable for any injury, death or loss of property damage suffered by the hirer or any member of your party. Your belongings are also your own risk during your stay. If you happen to leave anything behind, please contact us on lydstepcaravanhire@outlook.com as quickly as possible with a description of what has been left behind. We will hold all lost property for 30 days, however any lost property that has not been claimed after this point will be disposed of.

All information is given in good faith but no warranties are made regarding information provided, either written or oral.

Lydstep Caravan Hire nor the owner can be held responsible for the signal strength for mobile, WIFI signal strength and/or television signal on site.

We retain the right to enter the caravan at any reasonable time to carry out repairs or cleans deemed necessary to the caravan or equipment.

Play Pass
The owners nor booking agent will not be responsible for any change of entertainment facilities as these are arranged by Lydstep Beach Village (Haven). Entertainment passes (Play Pass) required can be purchased in advance using the link www.haven.com/play-pass. In order to purchase your play pass online, you will need to be registered on to site and will receive a Unique Registration Code. Please note you cannot purchase a pass more than 4 weeks in advance of your arrival. To purchase your pass, input your last name and unique registration code and select next. Here, you can make payment for your passes. Once payment has been made, you will be directed to https://www.haven.com/experience to book onto your activities during your stay. Please do not make payment to Lydstep Caravan Hire for your pass. Alternatively, you can purchase your Play Pass and book on to your activities upon arrival at Lydstep at Reception.

Please note in order to use the Haven facilities indoor swimming pool, the kids clubs such as Ranger Dai (sand sculpture, bug hunt etc) Play Passes are required. You do not require a Play Pay to access the Manor House restaurant or bar, arcade, launderette, onsite shop and outdoor play areas, however you can pre-book a table at the clubhouse. To make a booking for at the restaurant, please follow the below link (you will need your Unique Registration Code to make this booking and this can only be done up to 28 days prior to arrival: https://www.haven.com/experience 

Please note that the play passes are not compulsory to enter the park and you do not need to complete the form if you do not want to use on site facilities.

All facilities are open to guests from 18th March 2022 to 31st October 2022, please note prior to and after this date only owners have access to facilities and you will not be able to gain access to facilities or purchase Entertainment passes. Opening dates for the facilities in 2023 are awaiting confirmation. For more information on passes, please contact Haven on 01834 871871.

There is a strict no-smoking policy inside the caravan.  If you do wish to smoke please do on the decking area closing the doors to the property to ensure the smell does not travel. There's no smoking of vaporisers, e-cigarettes and tobacco in any of the Haven public buildings or facilities. We have outdoor smoking areas, and these are clearly signposted.

Bedding
You are required to provide your own bedding (Bed Sheet, Duvet Covers & Pillow Cases), bath mats and towels. You can hire bedding at an extra cost and this can be done at the time of booking or please email me your request at Lydstepcaravanhire@outlook.com and I can add this to your booking.

Security Protocols
In line with Haven security protocols, we are asked to gather information of every person that gains access to the park and that is staying in private accommodation. Prior to your arrival, Lydstep Caravan Hire will email all guests a Pre- Registration Form to complete.

Lydstep Caravan Hire will use then use this information to complete an "arrival form" on the Haven portal and upon completion, you will be send a confirmation email with Unique Registration Code, safety information whilst on park, a map and other important information that Haven may need to share. Haven require the arrival form to be completed at least 48 hours prior to your arrival. Please ensure the information on the form is as accurate as possible and we are notified of any changes to the form to avoid issues accessing the park.

Haven will retain this data for a maximum of 30 days after you have departed. At the end of that period, your data will either be deleted completely or anonymised. Additional Information

  • Beach access for dogs is restricted 1 May- 31 September (this is a Pembrokeshire County Council regulation). Dogs are able to access the beach to all year round from the boat ramp toward the right of the bay (in frontE of the clubhouse).

  • Due to volume of vessels and to improve availability for our owners, Lydstep only launches vessels for registered owners, and holiday makers should not bring vessels onto site (for more information please contact Sam King on 01834 871871) 

  • Electric scooters and carts are not allowed on park. In line with legislation and in accordance with health and safety advice, we only permit the use of electric scooters, petrol powered scooters, segways, hoverboards or balance boards and quad bikes if they are part of an organised, on-park activity. 

  • Please pick up your dog mess

  • Lydstep is designed with families and couples in mind, and we will turn away parties where all people are under the age of 21. We don’t allow hen or stag parties and we may turn away your guests if we feel that the reason for their stay is not in line with our family-focused values. 

  • We do not permit owners or guests to fly drones at the park. 

Vehicles on Park

The Road Traffic Act applies on the park and all normal rules of the road apply. Your vehicle must be fully taxed and insured and you should drive with care and consideration for others. For your safety, there is a maximum 10mph speed limit. 

Please use designated parking spaces, car parks or parking areas for your vehicle, and don’t park on the grass. If you require to charge an electric car, please use the Electrical Vehicles charging points on park by Reception.

Please don’t carry out repairs or maintenance on any vehicles at the park as this will disturb others who are trying to relax. If you bring a noisy vehicle, we may ask you to take it away from the park. Vehicles (such as motorhomes and touring caravans) must not be inhabited overnight. This also includes tents. 

If you’re planning to bring a vehicle other than a car to the park (such as a lorry, van, motorbike, quad bike, jet ski, boat, motor home, camper van, converted van etc) you must gain written approval from your Experience Team as some parks do not allow these vehicles. Please confirm with Haven Reception on 01834 871 871 where these can be parked. 

At Lydstep, we cannot allow jet skis, boats or trailers on park as there is not sufficient space or storage facilities.

Haven Regulations

Behaviour Standards - We don't knowingly allow any guest or owner to use or visit our parks who: (i) has an unspent criminal conviction; (ii) has an entry on a criminal register (including the sex offenders' register); (iii) has any record of any order indicating antisocial behaviour, violence, abuse, public disorder, or criminal damage or any other form of antisocial behaviour; (iv) is a convicted sex offender, subject to the notification requirements of the Sexual Offences Act 2003; or (v) is subject to a Risk of Sexual Harm Order or Child Abduction Notice. 

If you don't disclose this information about yourself or any other member of your party, and it later becomes known to us, we reserve the right to request you leave the park immediately.

We have a zero-tolerance policy on illegal drugs, firearms and offensive weapons. If you take or are in possession of illegal drugs or any other illegal substance or are in possession of a firearm or offensive weapon, we will ask you to leave the park and terminate your license agreement. 

We don’t tolerate threatening or abusive behaviour (physical, verbal, written or on social media) and we’ll ask you to leave the park if we think you’re spoiling things for others or are putting the personal safety or health of other owners, guests or team members at risk. This may result cancellation of your booking and request to leave site immediately without a refund.

You are responsible for the behaviour of everyone within your booking party, whether you’re present or not. If anyone is unruly or antisocial, we may ask them to leave the park and terminate their stay. We reserve the right to refuse future stays of these guests on any park. 

Ball games can only be played in the designated areas, and not between holiday homes. 

At after-dark, please keep noise to a minimum so you do not disturb others.  

Fires and BBQs - For your safety and that of others around you, no fires are to be lit on the park. Charcoal and gas BBQ’s in a fireproof container are acceptable but must be used adjacent to the holiday home and not directly on the ground or veranda.

Sickness - If you become ill whilst on a park with an illness that you think will affect any of our other owners or guests you must let us know.  If we become aware, or have reasonable grounds to suspect, that you have contracted a contagious disease or illness that has the potential to infect many people quickly; you and your party may be asked to leave the park. If this is not possible, then restrictions will be placed upon your activities and movements to prevent the disease or illness being transmitted to other guests.

Evacuation of park - We reserve the right to require the park, and holiday homes, to be temporarily vacated by all persons in the case of extreme weather or other extenuating circumstances which, in our opinion, is likely to endanger property or cause injury. 

Photographs & Filming - You are not allowed to film or take photographs in our swimming pools and changing areas.

Privacy Policy
Your personal data will be stored on a central database (SuperControl) to complete and administer your online booking, which includes sending you communication in relation to your reservation such as confirmations, modifications, reminders and entrance codes. We may also invite you in future to complete a questionnaire to provide a review about your experience with Lydstep Caravan & Lodge Hire Ltd or the private caravan you hired.

The owner of your allocated caravan will have access to your personal data stored on the central system. Owners may contact you directly to provide specific information relevant to your booking. Haven will also have access to specific elements of your personal data, being the name of the hirer and contact number. Your data is stored for your safety and the safety of others around you, for the park to have visibility of who will be entering the Haven site and security purposes. Your data will not be used for marketing purposes.

All information included on the Play Pass form (if completed) will be passed on to Haven in order to process your passes prior to arrival on site. The information provided on this form is relevant to your booking only. 

Providing certain elements of your personal data to Lydstep Caravan Hire is voluntary, however require key data in order to authorise your visit and provide this service. This data includes the full name of the hirer, address, email address, contact number and number of and age of people staying.

We use appropriate business systems and procedures to protect and safeguard the personal data you give us. We also use security procedures and technical and physical restrictions for accessing and using the personal data on our servers. 

We will retain your personal data for as long as we deem it necessary to enable you to use our services, provide our services to you, to comply with applicable laws, resolve disputes with any parties and otherwise as necessary to allow us to conduct our business, including to detect and prevent fraud or other illegal activities. All personal data we retain will be subject to this Privacy Statement.
